London Tax Society (LTS) is run by London Tax Network Limited (LTN). LTN is a specialist tax investigations firm. LTS runs events for networking and professional development.

This privacy notice aims to give you information on how LTN collects and processes your personal data through your use of this website, including any data you may provide through this website when you sign up to our newsletter, register for an event or comment on our blog. It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. The personal data that we collect and how we use it

The data that we routinely collect includes members’ names, the name of their firm and their email address. We collect this data directly from our members when they join the LTS mailing list or as a member.

Sometimes members will pay for events using payment methods such as PayPal. This results in the provision by members of data such as addresses, phone numbers and email addresses which may be different to their membership data. The LTS does not make use of or retain this information.

We may collect, use, store and transfer other personal data about you :

  • Usage Data includes information about how you use our website, products and services.
  • Marketing and Communications Data includes your preferences in receiving marketing from us .

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data).

How is your personal data collected?

We use different methods to collect data from and about you including through:

  • Direct interactions: You may give us your Name and Contact details by subscribing to our mailing list, contacting us through the website or by email or by becoming a member;
  • Automated technologies or interactions. As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions and patterns. What is this data used for?

We use membership data for:

  • the administration of your membership/mailing list subscription;
  • the communication of information, and the organisation of events;
  • notifying you about changes to our terms or privacy policy;
  • asking you to leave a review or take a survey; or
  • data analytics to improve our website, products/services, marketing, customer relationships and experiences

How is your data stored?

We store membership data (name, email address, password, and company name) securely within an encrypted database on a server controlled by the website hosting service.

Who is your data shared with?

Sometimes we are required to provide attendee lists for events and it is in these circumstances that membership data may be shared with third-party organisations. We will not share any details other than your name unless consent is expressly given by you.

Where third parties need to access the website for maintenance, they may have access to the name and email address of anyone who has placed an order or has an account with LTS.

Visitor comments may be checked through an automated spam detection service.

Your personal data is not passed on by us to organisations other than as indicated above.

Withdrawing consent for LTS to hold your data

You can withdraw consent at any time for us to hold your personal information. Should you wish to do so, please contact LTS (details above). Should you wish to withdraw consent, please notify us accordingly, your details will be removed from the LTS membership database and you will no longer receive communications from LTS.

How long we keep your data for, and why?

We will hold your data for the duration of your membership of LTS or subscription to our mailing list(s) if later. If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide on their user profiles. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

If you leave a comment on our site you may opt-in to saving your name, e-mail address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment.

This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
